Job Summary:

The Facilities Manager handles all facilities issues and ensures coordination of facilities services by performing the following duties while supervising facilities staff.

 

ESSENTIAL DUTIES AND RESPONSIBILITIES include the following.  Other duties may be assigned.

1.    Supervise facilities staff as required.

2.    Responsible for all Compliance Management Programs to include the Illness and Injury Prevention Program (IIPP) with all OSHA Reporting, Safety Policy Statement & Manual, Accident Investigation Procedures, Building Emergency Evacuation Procedures, and Accident Prevention Signs/Tags.

3.    Coordinate all building maintenance janitorial services and supplies.

4.    Responsible for managing appropriate vendors related to office space including those that provide vending machines and water coolers.

5.    Responsible for management of all off-site facilities and storage services.  Coordinates all remote document storage through vendor contracts.

6.    Manage all internal building maintenance needs through vendor lists to include HVAC, electrical, plumbing, lighting, etc.

7.    Interface with property management staff in relation to building operations.  Maintain a data base of office lay-outs and all furniture inventories.  Participate in real estate broker research and inquiries for expansion planning.

8.    Negotiate and purchase all bulk office supplies and coordinate delivery.  Handle all stocking of supplies and departmental distribution.

9.    Responsible for all physical security including Alarm Company, Police and Fire Services.

10. Support all departmental requests to move desks, files, cabinets, and heavy items approved for relocation. Ensures all approvals come from a Director or VP and as appropriate, the COO.

11. Regular and consistent attendance.

EDUCATION and/or EXPERIENCE: Bachelor’s degree (BA) from four year college or university;  6-8 years related experience and/or training preferably in health care, 4-5 years managerial/supervisory experience; or equivalent combination of education and experience. 

 

LICENSES, CERTIFICATES, REGISTRATIONS: Current and valid California Driver’s License.

 

LANGUAGE SKILLS: Ability to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals.  Ability to write routine reports and correspondence.  Ability to speak effectively before groups of customers or employees of the organization.

 

MATHEMATICAL SKILLS: Ability to calculate figures and amounts such as discounts, interest, commissions, proportions, percentages, area, circumference, and volume.  Ability to apply concepts of basic algebra and geometry.

 

REASONING ABILITY: Ability to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists.  Ability to interpret a variety of instructions furnished in written, oral, diagram, or schedule form.

 

OTHER SKILLS and ABILITIES:  Must be able to operate a vehicle. Proficiency with Microsoft Office and intermediate Outlook, Excel and Word skills. Must possess and maintain a current/valid California Driver’s License and   be able to operate a vehicle.
